Calendar of tasks and events

At the top of the JoomCRM Dashboard, navigate to the JoomCRM menu and click "Calendar".The calendar allows you to keep track of all of your tasks and events. There are a few ways to add an event or a task to the calendar. There are also a few ways to filter the results of the calendar. We will cover these over the next few pages of this guide. However for now, please take note of the screenshot below more specifically the checkboxes with the list of all the JoomCRM users for this sample site. 

The quickest way to add a task or an event within the calendar is to click on any date then click either the "Add task" or "Add event" link. To edit, remove, or mark a task as complete, click on the task or event on the calendar and links will appear to edit, remove, or mark complete. 

How to Create a New Task

Alternatively, there are buttons throughout JoomCRM which allow you to create Tasks within the Dashboard, Deal, People, and Company pages. After clicking the Add Task button, a modal box will appear titled "Add Task". Within the modal box and tabs, enter the information for the task, then click save to finish.

  • Name - is the name or title of the task
  • Associate to - is the company, deal, or person the task is associated, applied, or related to
  • Type - is the type / kind of task to which you will be adding as a reminder such as Call, Milestone, Appointment, Email, Todo, or Fax
  • Assign to - is the person who is responsible or will be performing the task
  • Due Date - is the date and time the task is due
  • Repeat this event - allows you to schedule the frequency or repetition of the task such as Doesn't Repeat, Daily, Everyday, Monthly, Yearly etc.
  • End Date - is used for setting the date a task will stop repeating if the task was set to repeat.
  • Description - is a short summary of the task
  • Public - is a checkbox for determining whether the task is public or private. Public means that the taskwillbe viewable by all JoomCRM users.

How to Create a New Event

Alternatively, there are buttons throughout JoomCRM which allows you to create Events within the Dashboard, Deal, People, and Company pages. After clicking the Add Event button, a modal box will appear titled "Add Event". Within the modal box and tabs, enter the information for the event, then click save to finish.

  • Name - is the name or title of the event

Calendar Filtering

For the purpose of this guide, we are logged into JoomCRM as an Executive user. You may remember from reading the Download, Installation, & Setup guide that there are three types of JoomCRM users. Executive users have the ability to view deals, contacts and leads system-wide. There are no restrictions on Executive users.What does this mean for the Calendar system? It means that the Executive user can see all users and content. The Executive user can also filter all users and all content. In a previous screenshot of the calendar system you may remember seeing the checkboxes with the list of all the JoomCRM users for the sample site. By placing or removing a checkbox on a users name, the Executive user can filter what tasks and events that he can see on the Calendar system. As for Managers, they can only view or have the ability to view deals, users, events, tasks, contacts and leads that have been assigned to them or that they have created as well as anyone in their team. As for Basic Users, they can only see deals, contacts, events, tasks, and leads that have been assigned to them or that they have created. The above applies to all filters on the site.

That said, there are additional filters for the Calendar task and event system. In the first calendar screenshot, if you clicked "View All Tasks & Events" a new web page will pop up that looks similar to the screenshot below. Here you may filter your tasks and events. By clicking the word "incomplete" you can filter between "incomplete" and "completed". By clicking on "tasks / events" you can filter between tasks/events, tasks, or events. By clicking "any type" you can filter by call, milestone, appointment, email, todo, fax, etc. The filter for "due any time" allows you to filter by today, tomorrow, past due, etc; whereas the anything filter allows you to filter by people, deals, or companies. The last filter is the assigned to filter, which allows you to filter content of a particular user. Other notable links are "Add Task", "Add Event", "Show Calendar", and "Print".
