1 - Document folders
A folder is a summary of documents, a collection or categorization. A document folder is a category of documents. In the following tutorial we will create a folder for "Invoices" documents .
We will later collect all our invoices in this folder / category.
Creating a document folder
To create a new document folder go to Left sidebar -> click on "categories" -> click on "documents" tab , then on "New: documents folder".
A new form open with the following fields:
- Title (plural title)
- Singular (singular title)
- Parent Folder - You can use this option to create a folder hierarchy. In this case you can for example create a folder "Orders" and then define "Invoices" and "Offers" as subcategories.
- Default note This default not is suggested for all documents (in the case of invoices) and also replaces the default note that was defined in company details.
- Number - This standard number is suggested for all documents. With the addition of placeholder {CNT} you can create incremental document numbers. If you need a start value, use {CNT start = 123}, where 123 represents your selection.
- Status - The status applies to the category
- Data fields - Data fields are additional information that is also passed on to all documents in this category when they are first created.
Adjust menu structure (Edit company details)
Now that we have created our first category in the area of documents, we go back to the settings of our company and change the user interface.
In left sidebar -> Headquarters -> Click on "business" -> then edit your company details
After selecting documents categories/folders (invoices and quotes in our example) , sidebar menu will changes as follows:
2 - Contact Groups
A collection of contacts is a group . Contact groups are all categories of contacts, similar to how folders describe the categories of documents . The structure of a contact category or contact group is therefore the same as that of a folder for documents.
It is advisable to create a category with the title "Customers".
All data fields of a category are inherited by the elements (in this case contacts) and suggested when these are created.
To create a new contact group in left sidebar click on "Categories" -> then click on tab "Contacts" -> then click on new button
